Make Microsoft 365 easier to manage

Begin with people, file ownership, and the routines around changing access.

It is easy for a Microsoft 365 setup to grow one request at a time. Periodically step back and review how the people, accounts, and information fit together.

Start with the roles.

Consider what each person needs to do, which applications they use, and the information they should be able to reach. Let those needs guide access and licensing decisions.

Give business files a clear home.

Think through which information belongs to a person and which belongs to the business. Keep the sharing expectations and responsibilities understandable.

  • Where should staff find shared business information?
  • Who owns the decisions about access?
  • What changes when someone moves roles or leaves?

Make changes a routine.

Account creation, role changes, and departures should have an agreed process. Include the applications, files, groups, and subscriptions involved.

A useful setup reflects how the business works, rather than how the tools happened to accumulate.

Connect support and security.

Discuss the settings and the everyday support together. Improvements are easier to prioritize when the whole environment has a clear owner.
